Terms & Conditions

    These Terms and Conditions ("Terms") govern all bookings, hire agreements, and services provided by Audio Visual Events ("we", "us", "our"), a business registered at Dublin Road, Monasterevin, Co. Kildare, Ireland, W34 X662. By engaging our services you agree to be bound by these Terms.

    1. Definitions

    • "Client" — the individual, company, or organisation hiring equipment or services.
    • "Equipment" — all audio, visual, lighting, staging, and production equipment supplied by us.
    • "Event" — the occasion for which services/equipment are hired.
    • "Booking" — a confirmed reservation of equipment and/or services.

    2. Bookings & Confirmation

    All bookings are provisional until confirmed in writing (email or signed quote). A non-refundable deposit of 30% of the total quoted price is required to secure a booking. The remaining balance is due no later than 7 days before the event date, unless otherwise agreed in writing.

    3. Quotations & Pricing

    Quotations are valid for 30 days from the date of issue. Prices are quoted in Euro (€) and are exclusive of VAT unless stated otherwise. Additional charges may apply for:

    • Extended hire periods beyond the agreed timeframe
    • Overtime for technicians beyond scheduled hours
    • Travel outside a 50km radius of Monasterevin, Co. Kildare
    • Additional equipment requested on-site
    • Power supply provision (generators) where mains power is unavailable

    4. Cancellation Policy

    • More than 30 days before the event: deposit forfeited, no further charge.
    • 15–30 days before the event: 50% of total quote payable.
    • Less than 15 days before the event: 100% of total quote payable.

    Cancellations must be made in writing to mrhazel100@gmail.com. We reserve the right to cancel or reschedule due to force majeure events (severe weather, pandemic restrictions, venue closures, etc.) in which case a full refund or rescheduling will be offered.

    5. Equipment Care & Liability

    The Client is responsible for all equipment from the point of delivery until collection by our team. The Client agrees to:

    • Not move, adjust, or tamper with equipment once installed by our technicians
    • Ensure a safe, dry, and secure environment for all equipment
    • Report any damage or malfunction immediately
    • Not sub-hire or lend equipment to any third party

    The Client is liable for the full replacement cost of any equipment that is lost, stolen, or damaged beyond normal wear and tear while in their care.

    6. Venue Access & Requirements

    The Client must ensure:

    • Adequate access for load-in and load-out of equipment (loading bays, lifts, clear pathways)
    • Sufficient mains power supply as specified in our technical requirements
    • Access to the venue at the agreed setup time — delays caused by restricted access may incur additional charges
    • Compliance with all venue health & safety regulations

    7. Health & Safety

    We carry public liability insurance and all our equipment is PAT tested and regularly maintained. Our technicians follow safe working practices at all times. The Client must inform us of any venue-specific health & safety requirements before the event. We reserve the right to refuse to set up equipment if we deem conditions unsafe.

    8. Intellectual Property

    We may photograph or film our setups for portfolio and marketing purposes unless the Client requests otherwise in writing before the event. All content created by us (videos, photos, graphics) remains our intellectual property unless a separate agreement is made.

    9. Limitation of Liability

    While we take every reasonable precaution to ensure reliable service, we shall not be held liable for:

    • Technical failures caused by venue power supply issues
    • Delays or disruptions caused by third parties or circumstances beyond our control
    • Any indirect, consequential, or economic loss arising from equipment failure

    Our total liability shall not exceed the total value of the booking in question.

    10. Data Protection

    We process personal data in accordance with our Privacy Policy and the General Data Protection Regulation (GDPR). Client contact details are used solely for the purpose of fulfilling bookings and will not be shared with third parties without consent.

    11. Governing Law

    These Terms are governed by and construed in accordance with the laws of the Republic of Ireland. Any disputes shall be subject to the exclusive jurisdiction of the Irish courts.
